The Problem

Friday afternoons running on spreadsheets.

Timecards arrive from a dozen worksites across three states. Each one needs to be classified against the right overtime rules, have bill rates applied, and land on the right client invoice — accurately, today. The three places this breaks:

Multi-state OT is a minefield.

California's daily OT and 7th-day rule. Colorado's 12-hour threshold. Alaska, Nevada, Kansas, Oregon manufacturing — each with their own logic. One misclassification per worker per week adds up fast.

Bill rate math eats your week.

Different markups per client, per role, per shift. Manual spreadsheet work that's easy to get wrong and impossible to audit. Single point of failure when the person who built it is on vacation.

Invoice assembly is the bottleneck.

Pulling hours, applying rates, formatting line items, attaching PO numbers, generating PDFs — all of it, by hand, every cycle. The work that pays you, gating itself behind the work you hate.

The Product

A processing layer for the messy middle.

TimeCardCruncher is not a timecard collection app. You already have a way to capture hours — a VMS, a spreadsheet, or whatever your clients send you. TimeCardCruncher sits between collected timecards and finished invoices.

Automated Overtime Classification

Multi-phase pipeline supporting 7 US state rule sets out of the box — California, Alaska, Colorado, Nevada, Kansas, Oregon Manufacturing, and Federal. Every classification is auditable. Codes: REG, OT, DOT, DT, 7DR, HOLW.

Bill Rate Resolution at Scale

Per-client, per-role, per-shift bill rates applied automatically. Process up to 5,000 timecards in a single batch. Full audit trail on every rate decision.

Invoice-Ready PDF Output

Aggregated, formatted, PDF-ready invoices with line items, totals, PO numbers, and remittance details — generated automatically. Ready to send to your clients without further editing.

API-First Integration

REST API with X-Api-Key authentication. Drop it into your existing stack. Batch upload via CSV for teams without engineering resources. ATS integrations on the roadmap.

In Practice

The CA 7th-day rule, classified correctly.

A California worker logs 10 hours Mon–Fri, then picks up an 8-hour Sunday shift — their 7th consecutive workday after starting Monday.

Most spreadsheet-based workflows credit Sunday as straight time or simple OT. The actual classification: Sunday's first 8 hours are all OT, regardless of weekly totals. Anything beyond 8 hours on that 7th day becomes double-time.

One worker, one week, one rule. Multiply across 200 workers and 5 states. The classification pipeline catches all of it — and shows you which rule fired for which hour.

CA 7DR applied: Sunday is the 7th consecutive workday after starting Monday. First 8 hours of the 7th day are OT regardless of weekly totals; hours 9+ would be DT.
How It Works

From timecard to invoice in three steps.

No setup wizard, no consultants, no professional services engagement. Create an account and run your first batch the same day.

1

Upload Your Timecards

Upload two CSV files — one for contracts and one for timecards — or POST batches via API. Single-batch and grouped-batch flows supported.

POST /api/batches · X-Api-Key
2

Classify & Resolve

The 4-phase pipeline classifies every hour against the right state OT rules and resolves bill rates per client × role × shift. Full audit trail.

3

Generate Invoices

PDF invoices generated per client with line items, totals, PO numbers, and remittance details. Download from the dashboard or pull via API.

The Fit

Built for staffing agencies. Not for everyone.

Good Fit

  • US-based staffing agencies with 5–50 internal employees
  • Processing 100+ timecards per pay cycle
  • Operating across multiple states or complex OT scenarios
  • Currently doing OT classification and invoicing in spreadsheets
  • Already collecting timecards via VMS, ATS, or client-supplied files

Not a Fit

  • Freelancers tracking their own hours
  • Large enterprises with an established WFM platform
  • Teams looking for a way to collect timecards from workers
  • Payroll-first workflows where invoicing is downstream
  • Non-US OT rules (international expansion not yet supported)
FAQ

Common questions.

Is this really free?
Yes. TimeCardCruncher is currently free to use. There is no credit card required, no time-limited trial, and no usage cap.
Is this a timecard tracking app?
No. TimeCardCruncher processes timecards you have already collected. It classifies overtime, applies bill rates, and generates invoices. It does not replace your collection method — it makes everything downstream of collection dramatically faster.
Which states do you support?
At launch: California, Alaska, Colorado, Nevada, Kansas, Oregon (manufacturing), and Federal rules. Each state preset implements the relevant daily, weekly, and consecutive-day thresholds. More states added based on demand.
Do you integrate with JobAdder, Vincere, or Bullhorn?
Native ATS integrations are on the roadmap, with JobAdder and Vincere prioritized. Today, you can integrate via REST API with X-Api-Key authentication, or upload CSV batches manually. This works with any ATS or VMS that can export timecards.
How do I get my data in?
Two ways: upload a CSV file from the Upload Batch page, or POST batches to the API. Both flows accept the same data shape. The CSV format is documented and you can submit a single batch or grouped batches in one request.
Is my data secure?
Multi-tenant isolation by API key. Configurable retention days per tenant (minimum 7). Hosted on Azure. We do not share or sell tenant data. Full data deletion available from the Danger Zone in account settings.
